Since 1998, Botanica GmbH has specialized in the development of individual essences and distillates of exotic plants. This company, based in Sins in the canton of Aargau (Switzerland), also supplies plant concentrates and extracts of all plant species approved for use in cosmetics to manufacturers worldwide.
Challenge
Botanica has an information database with over 20.000 articles, accompanied by general information about the plants, detailed specifications, certificates of analysis and safety data sheets.
If someone changes this article master data, the modified data must be automatically transferred to all relevant areas. The information is constantly growing and is subject to strict regulations.
Therefore, the company’s major challenge was to find a suitable IT solution to simplify and automate information flows.
Solution
In 2005, Botanica opted for SAP Business One. The flexible and scalable ERP solution can be adapted to any SME.
The software offers a wide variety of modules, allowing the ERP system to be perfectly tailored to the company’s needs. This is why Botanica chose DATA UNIT and SAP. In fact, Botanica was surprised by how well SAP’s pre-configured processes could be adapted to the company’s specific workflows – a feature they hadn’t found with any other provider.
Furthermore, as a system provider, DATA UNIT offers support at all times and, thanks to its many years of experience in business management, always finds a quick solution should problems arise.
Result
The implementation of SAP Business One at Botanica can be described as a complete success.
It was found that thanks to SAP Business One, approximately 15 hours per week are saved within a very short time – with the same number of orders as before implementation. Whether it’s quotes, invoices, delivery notes, or certificates of analysis, all related processes can now be completed with a time saving of half an hour to two hours.
Furthermore, Botanica was able to automate a large part of its purchasing and sales processes and significantly reduce administrative work. For example, the approximately 20.000 stored items can be grouped according to predefined criteria in just one step.
